Frequently asked questions
How quotes, pricing, payments and planning work with us.
Talk to a person
Event designers reply within one business day. Onsite teams are reachable 24/7 during events.
How do quotes work, and what does “one final price” mean?
Send us your dates, group size, budget and what the event should achieve. Within one business day you receive three venue proposals, and supplier quotes for flights, transport, activities and production follow within 24 hours. Your event designer then combines everything into one proposal with one final price that covers the agreed scope. It only changes if you change the scope, such as adding guests or services, and we confirm any change in writing first.
How far in advance should we start planning?
For retreats and meetings of up to 100 people, three to four months is comfortable. Conferences, incentives and events over 300 people are best started six to nine months ahead. Shorter timelines are often possible: going from first search to a signed venue contract typically takes around five days.
Is there a minimum group size?
Most of our programs start at around 10 people. We also plan board meetings and VIP programs for smaller groups. Some experiences in our catalogue have their own minimum, which is shown on each one.
How do payment and invoicing work?
You receive one invoice per event. Typically a deposit secures the venue and suppliers, and the balance is due before the event; the exact schedule is set out in your proposal. We invoice in TRY, EUR or USD and accept bank transfer and card payments via Stripe or iyzico.
What is your cancellation policy?
Cancellation terms depend on each venue's and supplier's conditions, which vary by season and group size. We show them clearly in the proposal before you sign, and we negotiate more flexible terms where we can.
Do guests need a visa for Türkiye?
It depends on nationality. Many nationalities enter visa-free or with an e-Visa obtained online, while others need a visa from a consulate. We check the requirements for your guest list early and send invitation letters to guests who need them.
Can you handle dietary needs, halal food and accessibility?
Yes. We collect dietary and accessibility needs at registration and pass them to venues and caterers by name. Halal food is widely available in Türkiye, and we confirm certification with each venue. For guests with reduced mobility, we check rooms, access routes and vehicles in advance.
What about insurance and safety?
We work only with licensed transport companies and activity providers that carry the required insurance. Outdoor and adventure activities include a safety briefing and qualified staff. We recommend that guests also have travel insurance, and we can arrange event cancellation or liability cover on request.
Do you work with agencies and event platforms?
Yes. Through our partner program, agencies, incentive houses and event platforms use us as their delivery partner in Türkiye and the region. You keep the client relationship; we provide net rates, local contracting and onsite delivery, under your brand if needed.
Which languages does your team work in?
Our planning and onsite teams work in English, Turkish and Arabic. For conferences we arrange simultaneous translation, and we can book guides in other languages on request.
