Overview

Planning ends where onsite management begins. Our onsite managers arrive before the group, walk the venue, check rooms, AV and signage, and brief every supplier against the run-of-show. When attendees arrive, the details are already in place.

During the event they run the timings, manage registration and welcome desks, keep transfers moving, and deal with what comes up: a late flight, a speaker who needs a different microphone, a guest with an allergy the kitchen missed. A 24/7 contact number is shared with you and your attendees for the entire program.

Our teams work in English, Turkish and Arabic, so communication with international guests and local suppliers happens without a gap. After the event you get a short debrief on what went well and what to change next time.

FAQ

Frequently asked questions

Still have a question? Your event designer answers within one business day.

How many staff will be onsite?
It depends on group size and program. As a guide, a 50-person retreat usually needs one or two coordinators, while a 500-person conference needs a larger team across registration, rooms and transport. The staffing plan is shown in your proposal.
Who do we call if something goes wrong at night?
Your onsite lead, on a number that is answered 24/7 for the whole event. Guests also find an emergency contact on their welcome card.
When does the onsite team arrive?
Usually the day before the group, or earlier for large setups, so the venue walk-through and supplier briefings happen before the first arrival.
